Based on the plan basis designed in the previous Proposal Preparation or Negotiation Module, the EMDESK® Project Management Module offers an unprecedented array of support for consortium collaboration and features for keeping your research project on track, in particular, according to deadlines, costs and resources and to deliver reports and deliverables accurately to the European Commission on time.

The EMDESK® Project Management Module is available after registration and project set-up in the EMDESK® Proposal Preparation Module.

Control the total project progress at a glance

The dynamic Gantt chart provides a visualized overview about the project plan and progress. The chart shows deadlines and shifts of work packages, tasks, reports, milestones and deliverables including responsibilities and plan/used resources at a glance in order to allow the coordinator or contractor to stay on track or to be immediately notified on plan deviations.

Cost Controlling and Reporting

For full and transparent budget and costs control, EMDESK gives you the estimated figures in comparison with the actual – in total or for each Contractor - either for the total project duration or only for a specific period. At drill down you receive detailed figures on EC Contribution and actual costs broken down to Activity Types and Cost Categories. With the cost reporting feature each contractor easily can enter incurred costs for the current reporting period. Instantly the requested indirect costs and EC Contribution for the period and total are calculated. Best of all, with one click the contractor can create the Form C for signing and submission to the European Commission.

EMDESK makes reporting and monitoring of declared vs. planed efforts flexible and transparent. Each Contractor is notified and reports resources and justifications on time and correctly. The Contractor see at a glance for which task staff effort declaration is required according to the current period and estimated resources from the Technical Annex. The Coordinator gets full control over used resources and can prevent inconsistencies with the estimated efforts for each Contractor.

Report Management and Preparation

The Report Monitor assists the Coordinator to control and follow up the progress preparation and input of each Contractor for all Interim and Periodic Reports. The Review meetings and reporting periods of Interim and Periodic Reports can be manually configured in EMDESK.

The progress reporting feature in EMDESK enables collaborative preparation of Interim and Periodic Reports for the entire consortium. At a glance each Contractor gets informed for which work package or task a progress description is required in the upcoming report. The activity description of the technical annex and a history of previous reports is always provided.

Deliverable Management

With EMDESK, it is easy to organize and manage deliverables and contributions. The Deliverable Manager assists you to keeps the preparation on track in order to achieve the submission deadline successfully. Quickly, the Coordinator receives an overview on the status of all deliverables. The responsible Contractors can set and comment the current status, upload contributions or postpone the deliverables.

The DOW maintenance function helps the consortia to adapt changes in the Technical Annex to provide contract amendments to the Commission and allows to create a new version of the project plan to keep the plan basis in EMDESK up to date.

In order to complete the service with a necessary collaboration feature, EMDESK comprises a secure and extensive document management system (DMS). With the document manager in your EMDESK project, you are free to share project related files, benefit from file versioning, set a folder structure and access restrictions. Best of all, you can link files to related work plan elements.
