FAQ

You need to register your project with the Proposal Preparation Module. Click on "Register" at the top of our website and complete the project registration. Then login to EMDESK. You will get a blank project area in the Proposal Preparation Module. Here you can design the Proposal or Description of Work (DoW). After you have submitted the proposal successfully and you want to start project management, you can upgrade to the Implementation Module. Simply click on the tab "Implementation" in EMDESK or contact us at contact@emdesk.com. If you want to use EMDESK for managing your project without using the Proposal Preparation Module, we offer a Project Setup Service. We set up the entire project in 3-5 working days.
The price for the Project Management Module is based on the number of project partners and duration – the number of user accounts and web space is unlimited. The use of EMDESK is subscription based and the license fee is 1,800€ per year for up to 10 partners. For every additional 5 organisations, the license fee increases by 240€ per year. EMDESK offers a Project Setup Service for those consortia which have already started a FP7 research project and want to use the EMDESK Implementation Module without having previously submitted a proposal using EMDESK. After having established a non-disclosure agreement for the input of the DoW-data, our staff sets up the entire project structure, fills in cost and resource figures, deliverable schedules, descriptive content, etc. Within 3-5 working days, your project will be available to you.
To access the demo version, please visit www.emdesk.com and click at "Try the EMDESK Demo System" or enter http://demo.emdesk.eu into your web browser to access the demo. The demo is pre-populated with fictive proposal, description of work and project information to experiment with the features in EMDESK. However, for a better understanding we recommend contacting us at contact@emdesk.com for scheduling a guided web session.
EMDESK offers an enterprise or a campus edition to those organisations that are interested in using the platform for several projects. For more information, please contact us at contact@emdesk.com.
The EMDESK is a software provided as a Software as a Service (SaaS) accessible at https://emdesk.eu/ by any regular web browser. EMDESK is usually only offered as a hosted product. We maintain the servers, the security, all the updates, improvements and FP adjustments so you don't have to worry about anything. For a hosted or modified solution on your own server, please contact us at contact@emdesk.com.
Regular users in EMDESK can only access partner related information. Those users granted with coordinator rights, can access and modify all information.
EMDESK exports the Financial Summary and the Form C per partner and period to an EC approved format. The exported spreadsheets are in accordance with the FP7 Guidelines.
It is one of EMDESK's highest priorities to keep all information confidential, protected and secure. We take all reasonable precautions to keep the information safe and permanently available. We can assure a 99% availability of the service and data. The processing of information is strictly limited to provide our users with the valuable service. In addition to several audited security measures, endpoint certificate-based authentication and a SSL-256bit encrypted connection, EMDESK is hosted on a state-of-the-art redundant server cluster that is professionally managed and physically secured by Hetzner AG in Nuremberg, Germany. A data backup management system that executes daily backups allows us to recover a project status up to 30 days in the past. We are proud that EMDESK was successfully inspected by a large German institution for ICT security according vulnerability. Since EMDESK fulfills this strict data-protection standards of the Fraunhofer Gesellschaft, they concluded a framework contract with EMDESK.
After official project end, you still have additional 6 months to finalize the project. All project information is stored on the EMDESK servers and are not deleted until 8 years after project official end. Access to the project area can be obtained in this period by the coordinator on request.
Yes. EMDESK will adapt the plattform to meet the requirements of FP8.
Yes, EMDESK does support all funding schemes under FP7.
No, there is no other installation, configuration and maintenance necessary. EMDESK is a browser-based web application implemented for common systems. After you have received the access details to your personal EMDESK area, you can login via login.emdesk.eu. EMDESK is compatible with any operating system and browser that supports JavaScript.
At any time you can export project data to reports in DOCX format, financial forms (Finanical Tables, Form Cs) to spreadsheets, and costs/person-months information to a machine readable format. EMDESK exports ready-for-submission Interim and Periodic Reports, Staff Effort and Budget Tables, Deliverables Status, Cost Statements and Financial Reports for further streamlining in all major word processing or calculation software like Microsoft® Word™ or Excel™.
If you lost your password, you can request a password reset by clicking at "Request new password" at the log in page and entering the email address associated with your account in EMDESK. You will receive an email with a link to confirm the password reset. After your confirmation the new password will be emailed to you shortly. Please consider that our technical support is not authorized to retrieve or send passwords via mail.
If you have forgotten your user name, please contact our technical support at support@emdesk.com from the email address associated with your account in EMDESK.
If you did not receive any password reset confirmation mail with a new password, please check the following issues: (1) Check if you have looked for this mail in the inbox of the mail account you are using for EMDESK, (2) Check your email application's spam, junk folder or filter or (3) Please note that some emails may be blocked by your ISP (internet service provider). If this does not help, please contact our Technical Support at support@emdesk.com.
In case you have lost your user name or your email address has changed, please contact the user with coordinator rights to retrieve the user name for you at myEMDESK > Project Settings > User Accounts or contact our Customer Support at support@emdesk.com.
Your account is inactive due to security reasons. In most cases there have been more than 3 failed attempts to login. In such events, please use the "Request new password" function at the login page to re-activate your account and reset the password. In some other rare cases your access to a project was deactivated by the project coordinator, so please direct your request to a user with coordinator rights.
To change your username or password, go to "myEMDESK > Account Settings > User Profile" and click on the button "System Information". To change your username, click on the pencil icon on the right of the current username, enter the new username twice and click "Save new Username". To change your password, click on the pencil icon on the right of the current password, enter the old password and new password twice, and click "Save new Password".
We provide unlimited support via email for our customers at support@emdesk.com. We do our best to respond to every email within a few hours after having received it.
The EMDESK Proposal Preparation Pro Module offers a number of additional features: The collaboration functionalities feature a document management system with version and access control, internal email tracking system, mailing lists management, project internal wiki system and forum as well as a shared online calendar.
The costs for the EMDESK Project Management Module are project eligible cost since they are actually and clearly incurred for the project and during the project. The license fee for EMDESK is very likely to be fully reimbursed under management costs by EC according to the financial guidelines.
Yes, we would gladly provide you with an extensive web-based training session. During the web-based desktop and audio sharing session one of our experts will take up to 24 users through the functions of the Proposal Preparation and Project Management Module. We do highly recommend this training and the participation of all your partners to enable a smooth and efficient start with EMDESK. Please contact us at contact@emdesk.com for more information. To get a first overview of EMDESK, we offer an introductory web-session at no charge. This session will take 30 minutes and will be held by one of our consultants.

The number of users per organisation is not limited, you can invite as many persons per organisation as you desire. The pricing of EMDESK depends only on the number of organisations and the project duration.
Your data is backed up nightly and written on multiple disks instantly. We are able to perform full backup recovery in case of a project or system-wide emergency. Our hardware is fully redundant, so even if one disk or server fails, no data will be lost and the system will not crash. Our uptime is over 99%.
