We are excited to introduce the Time and Capacity Dashboard, our latest feature designed to tackle these challenges, offering project managers and teams an advanced tool for managing their most valuable resource—time.

Let’s dive into how this new dashboard can streamline your daily operations.

The new Time and Capacity Dashboard

The dashboard provides a clear view of daily, weekly, or monthly recorded and remaining times for each user, which includes work hours spent on projects, leaves taken, over-hours, and overall capacities, all in one simple table.

Here’s how you can access and start using this dashboard:

  • Select the ‘Time’ menu from the main menu.
  • In the ‘Time’ section, click on the “Time/Capacity" view to bring up the dashboard.

Why It’s Useful

  • Instant Overview: Quickly check who’s within their work capacity, who’s available, and who’s on leave—whether on holiday or sick. This ensures that workloads are balanced, planned person-month per project are fully utilized, and no one is overworked.
  • Capacity Understanding: Obtain a clear picture of your team’s capacity at any moment, whether for the week, month, or year. This visibility allows you to strategically plan and allocate resources based on available planned person-month, helping your team manage their tasks effectively and without unnecessary stress.
  • Flexible Viewing: Seamlessly switch between weekly, monthly, and yearly views to monitor how each team member is utilizing their time. This adaptability enables you to customize reports and oversee planned person-month utilization, creating accurate time sheets and resource allocation reports for any period.

This new feature is not just about tracking time; it’s about understanding how planned person-months are utilized, enabling optimal allocation of personnel on projects and consumption of planned person-months, which is crucial for projects where accurate time tracking is directly linked to funding reimbursement.

Setting Up and Managing Capacities

As a first step, log in to EMDESK and set up your team or individual user capacities. Follow this article for clear guidance.

Introducing Meeting Recordings

Our other new feature lets you now record video meetings with just a click. Now you can capture every discussion and share or review it anytime, making sure you never miss important details. You can start recording your video meetings by clicking the "Start Recording" option from the menu during a meeting. To watch a recording, just go to the "Meeting" section of your workspace, select the meeting you want, and click "Watch Recording". Follow this article for clear guidance.

Other improvements include:

  • Enhanced performance of the activity stream, now loading faster and allowing you to filter log records by date range, user, and more.
  • Improved usability of Analytics, enabling you to apply filters and settings across the entire Analytics report.
  • In the Workplan section, you can now fully duplicate projects along with all work packages and tasks.
  • Workplan and Participants: You can now bulk-move projects, activities, and participants under other items.
  • You can now preview documents like images, PDFs, and videos with a simple click.
